Frequently Asked Questions

(regarding re-union 2012 in Ottawa)

Q1: Are registration Fees in USD or Canadian Dollars?
A: All fees shown in the tables on SUTA website or the messages sent to the members are in USD (US Dollars).

Q2: How to pay the fees?
A: There are two available options for payment:
  1. PayPal: Those who are outside Iran and are able to use PayPal, are requested to make online payment using USD as the currency. These applicants may either pay through PayPal by filling the online registration form or send a direct payment with email through PayPal to billing@suta.org.
  2. Direct Deposit: Those who are not able to use PayPal, are requested to deposit the equivalent fee in Rials to the following account:
Bank Mellat
Branch Sharif University Branch|
Account Number 202220159
Beneficiary Dr. Davar Boghaei
Exchange Rate 14,000* Rials/USD
*This is Alal-Hesab and will be finalized during the re-union (July 13th, 2012).
IMPORTANT: The equivalent exchange rate at the moment is set at: 14,000 Rials/USD. In case of any significant increase in the exchange rate between now and the time of re-union, applicants are deemed liable and requested to pay for the difference. For example if the exchange rate during the re-union is 17,000 Rials/USD, the applicant agrees to pay 3,000 Rials/USD on his/her payment for compensation of the exchange fees.

Note: The above compensation arrangement ONLY applies to applicants who are coming from Iran and have paid their registration fees as direct deposit in Rials.

Q3: How much is the registration fee for Spouses, Children and other Guests?
A: Every SUTA member, beside himself/herself, may also register his/her spouse and/or children for the re-union. All members are hereby advised that the re-union may not be suitable for children under the age of 14. Having said that, the decision for bringing younger children is up to the member and SUTA doesn’t generally oppose attendance of younger participants.

Besides the immediate family members (i.e. spouse and/or children), each SUTA member may also bring one special guest as a full participant to the re-union and up. All other guests (i.e. friends) with a total of up to 3 per each member may only register to attend the Gala.

The registration fee applicable to all SUTA members’ spouses, children, special guest and other guests are indicated in highlighted rows in the following table:

* Note that the early bird registration date is currently extended until June 13th, 2012.

Q4: Will SUTA issue a Letter of Invitation for visit visa application?
A: After successfully registering online and making the payment and upon request from the applicant, SUTA will provide a letter of invitation for the member applicant, his or her spouse and children (if registered) for the purpose of applying for a visit visa with the Canadian Embassy in Tehran, Iran.
Note: The letter of invitation will not be provided for other guests such as a member’s friend.

Q5: What is the Refund Policy?
A: The cancellation policy as indicated in the last row of the table of fees (published in Q3 above) is as follow:
  • Early Cancelation - Before or on April 13th, 2012 80% Refund
  • Late Cancelation - On or after April 14th, 2012 No Refund
*Exception: For those applicants who require a visit visa for their travel and apply with the Canadian Embassy in Iran, SUTA considers an extended time for cancelation. If the applicant has completed the registration and applies before March 1st 2012 with the Canadian Embassy and will not receive his/her visa a week prior to the event (July 7th 2012), SUTA will issue a full refund of the registration fees paid by the member and his family. The refund will be equal to the amount paid by the member on his/her registration in Rials.

Q6: Is there any arrangement between SUTA and the Canadian Embassy in Iran for applicants to get help with their visa applications?
A: SUTA board of directors and the re-union organizers have held meetings with representatives from the Canadian Embassy in Tehran. As a result, SUTA is supposed to send a list of approved and registered applicants to the Embassy whom will be considered with more attention in their visa applications. Although there is no guarantee for issuing a visa, the sooner the applicants are announced to the Embassy the better chance of their applications being processed on time and more chance of getting a visa. Applicants may get more information on how to apply for a visit visa through the Canadian Embassy website: http://www.iran.gc.ca

The first list is supposed to be sent to the Embassy by the end of January. All members are therefore requested to begin registration ASAP and fill the forms completely to be included in this list. The second list will be submitted during February 2012.

Note 1: The list will only include the names of SUTA members who have registered to participate in the re-union along with their family members (i.e. spouse and/or children). Other guests and friends of SUTA members will not be included in the list.

Note 2: According to the Canadian Embassy website, the average processing time for visit visa applications is 16 weeks. Therefore, and in order to have enough time for planning, all applicants are urged to register for the re-union as early as possible so that their visit visa application may be submitted early in advance.
